Terms and Conditions
We believe it is best to begin with a clear written understanding of our respective responsibilities and obligations. Please read the entire document and select “I/we have read and understood these terms and conditions” to continue with the booking process. In addition, in order for us to be able to accept your booking, you will also need to sign the Assumption of Risk and Liability Release Agreement. If you prefer, you can request the booking form in PDF format, print it, fill it out, sign it, and return it by scanning and emailing it, faxing it, or mailing it. We will not consider your booking confirmed until we receive both your completed and signed booking form and your deposit (or full payment for late bookings). Experience Nature Tours LLC. 

Experience Nature Tours LLC. hereafter referred to as “ENT” or “We”, is a registered Limited Liability Company registered in the state of Arizona, USA. ENT creates a tour itinerary and arranges all specified travel services. These services differ depending on the tour but are detailed in the itinerary you are provided prior to booking. ENT reserves the right to substitute other suppliers of arranged services, and to alter the itinerary when deemed necessary or advisable. The passage contract used by airline(s) shall constitute the trip participant's sole contract regarding air travel and is not a contract with ENT.

Trip Pricing
The price of the trip typically includes all accommodation, ground transport as required by the itinerary, tour materials and the service(s) of a leader, entrance fees to parks and reserves mentioned on the itinerary, as well as specified meals. Since every tour is different, it is your responsibility to understand the inclusions and exclusions prior to booking. The price represents a complete package; itemization of individual costs is not available. Not included are flights between your home and the tour’s starting and ending destinations. Domestic flights required by the itinerary may or may not be included in the tour price. Travel expenses such as departure taxes, passports, visas, immunizations, prophylactic medicine, insurance, medical costs, evacuation, optional excursions not included in the tour itinerary, room service, minibar, laundry service, excess baggage, telephone calls, internet, and expenses of a purely personal nature are not included. Any expenses arising from the delay, disruption or extension of a trip due to causes beyond ENT'S control are not included. Tips to hotel porters, if their services are required, are not included. Tips to the ENT tour leader are not included. If you have questions about what is or is not included in your tour, please contact us know before booking.

Accommodations

ENT does not require single supplement for single travelers.

Rooming and bedding preferences will be honored to the best of our ability, but are not guaranteed. In some locations, such as remote field stations or very small lodges, accommodations are very limited. In these places, single, double, and/or twin rooms may not be available, and sharing arrangements may need to be accommodated. Whenever ENT is aware of these situations, participants will always be informed prior to booking. When unexpected sharing has to occur (particularly in remote locations where communication is difficult) the lack of availability at a particular hotel or lodge is usually not notified to us in advance and is only discovered on arrival. Under these circumstances, your leader(s) will do their best to accommodate the group’s preferences.

Group Size
Each tour has an assigned maximum group number. Should you desire a custom tour with more than SIX (6) participants an added photo guide might be arranged as we aim to provide our groups with the best possible tour experience.

Medical Care
ENT makes no representation that there will be a doctor or other medical personnel on any particular trip, and we assume no liability whatsoever regarding provision of medical care. If a participant is injured or becomes ill, ENT or the tour leader may, at the participant's cost, arrange medical evacuation or other emergency services. Regarding immunizations. Some tropical destinations require a Yellow Fever vaccination certificate. Anti-malarial tablets are highly recommended for travel in Africa, Madagascar, New Guinea, and parts of Asia and South America, and may be regarded as a necessity on some tours. Please consult your physician to obtain advice about the incidence of malaria, and prophylaxis options in malaria areas. You should consult with your physician about the advisability of vaccinations against tetanus, polio, hepatitis, cholera, typhoid and other diseases.

Restrictions and Participation
All applicants with medical problems that could interfere or limit participation in the tour, or with communicable diseases, are required to make them known to us at time of booking. Our tours do not normally entail very strenuous activity but, if this cannot be avoided, it will be made clear in the tour itinerary and details. All participants on scheduled tours must be fit enough to be able to complete moderate walks of several miles a day, sometimes on uneven or slippery surfaces, to participate fully in the activities of the tour. Persons with significant physical limitations should not book on any tour without first corresponding with ENT to determine how much, if any, of the trip they may participate in; in some cases, ENT will recommend a private tour to cater to special needs. The tour leader has the right to disqualify anyone at any time from certain activities, if they have reason to believe that the person is not capable of safely participating in activity, or whose physical limitations will prevent the tour group from completing an activity or cause any of the participants harm. ENT reserves the right to remove anyone from the tour who falsely represents themselves as fit for the trip.

Authority of the Tour Leader
Tour participants must inform the tour leader of any problems or dissatisfaction; the tour leader will do their best to address the situation. If a schedule change is necessary, the tour leader will ordinarily consult with trip participants, but the tour leader’s decision is final. On matters relating to the safety and proper conduct of the trip, the tour leader's decision is final. ENT accepts no responsibility for a participant who breaks the laws or regulations of any country visited, who is judged detrimental to the safety or welfare of others on the trip, or whose behavior impedes the operation of the trip or the rights, welfare, or enjoyment of other trip participants. Such a person may be asked to leave the trip and ENT shall not be liable for any additional expenses incurred by a person excluded from further participation on a trip, including, but not limited to, ground costs and airfares.

 

Reservations, Deposits and Payments

To secure your reservation, we require an initial deposit as well as the signing of the booking form including the Assumption of Risk and Liability Release Agreement. In the event of late bookings, we will require full payment at time of booking.

All tours have a deposit that is determined by ENT and is not subject to negotiation. If you are unsure of the deposit required for your trip, please contact us.

Please refer to our cancelation policy should you need to cancel and request a refund for your trip. Our cancellation policy is written out below.

 

Cancellation and other Company Policies

  • RESERVATIONS

Reservations for Experience Nature Tours are made through your deposits. Deposits for tours are non-refundable unless the workshop is cancelled by Experience Nature Tours (notwithstanding factors outside our control such as civil unrest, extreme weather events that create an unsafe environment or global pandemics). Once a deposit has been made your place on the tour will be confirmed. At this point, a contract between the applicant and Experience Nature Tours LL comes into existence.

  • PAYMENT​

The price shown on the website is a deposit to reserve your spot on the tour. A final payment link will be sent to you after the deposit has been received which must be completed no later than 90-days prior to the first day of the tour. The price is quoted in USD (United States Dollar) Payment can be taken in the following forms:

  • CONFIRMATION

​We will confirm receipt of your payment by email. If you do not receive a confirmation letter from Experience Nature Tours, please contact us.

When and why would a tour be canceled by ENT? 

If a tour is canceled by ENT for a reason that is within company control (failed logistics for example), you will NOT be charged your final payment or you will be reimbursed in full if you have already paid. Your deposit will also be reimbursed in full.

We reserve the right to cancel any tour for which there are insufficient reservations not less than 90 days before the departure date. In the event of a cancellation by Experience Nature Tours LLC. due to insufficient reservations, all deposits and other payments made to Experience Nature Tours LLC. will be refunded in full.

 

If a tour is canceled by ENT for any reason that is out of company control (for example, a hurricane) ENT will attempt to rebook logistics to make the tour run as smoothly as possible. Should the tour need to be fully canceled, Experience Nature Tours LLC will not issue a full refund. For this reason, we highly advise trip insurance.

 

What if I need to cancel?

We understand things change and you might need to cancel your trip. The deposit is as a much a place holder for your tour as it is to cover non-refundable costs. Your deposit can be reclaimed 100% should you cancel before the 90-day deadline. If you cancel after the 90-day deadline but before the 60-day full payment deadline you will be reimbursed 50% of the deposit. No refunds of the deposit will be given after the 60-day deadline.

 

If you need to cancel after the 90-day deadline, but before 60-days before the tour, you will receive 50% of the the total payment as a refund. If the your spot can be filled before the tour, you will receive the other 50% of your final payment but if it is not filled, you will not be reimbursed that final 50%. Cancellations made 60-days or less before the start of the tour will receive no refund. Again, we’d highly recommend trip insurance once you decided to send in your final payment.

  • TOUR ALTERATIONS

Changes in the itinerary may occur even though tours are carefully planned. Changes will be made to the stated itinerary if in our professional opinion it will benefit the tour and its participants by providing better photographic opportunities. Any major changes to the itinerary will be advised in the final tour details sent on receipt of the final balance. A change in the order that locations are visited is not deemed to be a major change. Should a major change of itinerary or schedule be forced upon us while the tour is in progress (for example due to strikes, weather delay or breakdown) any additional costs are the responsibility of the participants. Once again, we insist that travel insurance is essential.

  • PASSPORT, VISA AND HEALTH REQUIREMENTS

All participants are responsible for, and must be in possession of, a full passport, valid for at least six months beyond the end of the tour. Participants must also obtain any necessary visas and vaccination certificates required for the tour. It is strictly up to the participant to ensure that they have all passport and vaccination records required by the destination country. It is the participants' absolute responsibility to seek medical advice regarding vaccinations and medication to ensure that they are prepared by the date of departure. Furthermore, it is the responsibility of the participant to ensure that they are medically cleared for travel and the physical activity required to participate in the tour.

  • ACCOMMODATION

Accommodation will be in medium-standard hotels/motels. Please note that medium-standard hotels in less developed countries may not have the same level of facilities that we enjoy in the developed world and the food may not be what you are accustomed to. On very rare occasions the accommodation that has been reserved for the tour may not be available, and under such circumstances, the leader will obtain alternative accommodation of a similar standard. Everyone likes being comfortable and ENT will do its best to make sure you are comfortable.

  • TRAVEL INSURANCE

Experience Nature Tours LLC strongly encourages travel/trip insurance. Insurance should ensure that the necessary protection is provided against loss of deposit and medical costs, which can be very high should you fall ill during the tour. Please note that travel insurance rarely provides sufficient cover for expensive photography equipment; you are therefore recommended to add this to your home insurance policy or as a separate policy prior to departure.

  • ERRORS AND OMISSIONS

At Experience Nature Tours LLC. we take the greatest care to ensure that the information presented on our website and the materials we distribute is accurate. However, mistakes can occur. Unless the error or omission has a major effect on the tour to the extent that the photographic opportunities are drastically altered no claim for compensation can be entertained.

  • OUR RESPONSIBILITY 

Experience Nature Tours LLC. will take all reasonable steps to ensure that all services provided are of an acceptable standard. We cannot, however, accept liability for physical injury, loss, damage or expense resulting from any event whatsoever beyond our control. Insurance is therefore absolutely essential. By agreeing to participate in a Experience Nature Tours LLC, each tour participant and each parent or legal guardian of a tour participant who is under 18 agrees to release, indemnify, and hold harmless Experience Nature Tours LLC., its agents, servants, employees, shareholders, officers, directors, attorneys, and contractors as more fully set forth in the liability waiver that will be provided. Experience Nature Tours LLC. acts only as an assistant/consultant for the passenger in regard to travel, whether by railroad, motorcar, motor-coach, boat, airplane, or other means, and assumes no liability for injury, damage, loss, accident, delay, or irregularity caused by defect in such vehicles or for any reason whatsoever, including the acts, defaults, or bankruptcies of any company or person engaged in conveying the passenger or in carrying out the arrangements of the tour. Experience Nature Tours LLC. accepts no responsibility for losses or additional expenses due to delay or changes in air or other services, sickness, weather, strike, war, pandemics, quarantine, or other causes. The tour participant shall bear all such losses and expenses. Baggage is at the owner's risk entirely. Participants should be in good health before undertaking a tour. If you have questions about the physical requirements of a tour, please contact us for further information. Participants should prepare for the tour by reading the detailed itinerary.

  • YOUR RESPONSIBILITY

Trip participants' responsibilities include: selecting a trip appropriate to their interests and abilities; determining that the tour’s itinerary and activities are appropriate for them; determining that they are in sufficient health and fitness to undertake the trip and particular activities along the way; acquiring any necessary passports, visas, and immunizations; securing adequate insurance coverage; bringing appropriate clothing and equipment; passing through immigration and customs. Participants are responsible for the fate of all personal belongings they choose to bring on the trip. It is your responsibility to arrive at places stated at the correct times and to reconfirm your return flight and departure times. ENT has no liability whatsoever to you for your failure to do so. You must act and behave in a reasonable and responsible manner toward any other person you meet in the course of your travel arrangements. If in our reasonable opinion or in the reasonable opinion of any other person in authority, you behave in such a way as to cause or be likely to cause danger, upset or distress to any third party or damage to property, we are entitled, without prior notice, to terminate the trip of the person(s) concerned. In this situation, the person(s) concerned will be required to leave the accommodation or other service. We will have no further responsibility toward such person(s) including any return travel arrangements. No refunds will be made, and we will not pay any expenses or costs incurred as a result of the termination. You accept responsibility for any damage or loss caused by you. Full payment for any such damage or loss (reasonably estimated if not precisely known) must be made direct to the accommodation owner or manager or other supplier or to us as soon as possible. If the actual cost of the loss or damage exceeds the amount paid where estimated, you must pay the difference once known. You will also be responsible for meeting any claims subsequently made against us and all costs incurred by us (including our own and the other party’s full legal costs) as a result of your actions. You should ensure you have appropriate travel insurance to protect you if this situation arises.

  • QUESTIONS

If you have any questions, or do not understand this policy as it is written here, please contact us to explain it further. Otherwise, we are assuming that you understand fully our policies as they are written in this document. ENT reserves the right to refuse or decline bookings for any reason whatsoever, at its sole discretion. A booking is accepted only from the date that ENT has confirmed acceptance in writing and received your signed booking form and deposit payment. Only at this point does the contract between the participant and ENT come into existence. If following payments are not received according to the payment schedule outlined in the invoice, ENT reserves the right to treat these bookings as canceled and fees (outlined in the cancellation policy) will be applicable.
 

Some custom tours may have special deposit and booking conditions. If this is the case, you will be informed at the time of booking.

Regrettably, failure to make deposits or payments on time may result in the cancellation of your reservation, and cancellation fees will apply.

*Important: whenever you make a payment, whether it be an initial deposit or final payment, you must inform us by email, phone, or fax the amount of the payment, form of the payment, name of payer, and the date it was sent. Failure to do so may result in a delay in confirmation of receipt of your funds.

We accept payments by credit card (via the website; www.experiencenaturetours.com), check, or bank-to-bank (wire) transfer. Cash will not be accepted. All checks must be in US dollars and drawn on a US bank. US dollar checks drawn on Canadian banks may incur additional charges and may take several weeks to clear, and we will not accept them unless you have prior approval from ENT. For payments by wire transfer, you must instruct your bank to cover all bank charges involved in sending the wire. In many instances, an intermediary bank will deduct additional charges, which are deducted from the total that is transmitted to our account. If this is a small amount (US$25 or less), we will absorb it, but if the charges are more than US$25, ENT will invoice you for all additional charges. A statement of these charges must be sent to ENT for confirmation.
